Privacy Policy
Effective date: 1 November 2026
This website collects almost nothing about you. It has no forms, no accounts, and no analytics or advertising tools, and we do not use cookies for marketing or tracking. Our hosting and security provider may set strictly necessary cookies required to deliver and protect the Site, as described in section 3. The only personal information we receive directly from you is what you choose to send us by email.
This policy explains what that information is, how we use it, and the rights you have. It applies to vanowen.co and any other website we operate that links to this policy (the "Site"). This policy covers only our informational Site. If you buy Vanowen products from an authorized retailer or other channel, that seller's privacy notice governs how it handles your information. If we later add ecommerce, customer accounts, or trade-account features, we will update this policy with the additional disclosures those activities require before they launch.
Who we are. The Site is operated by Vanowen Inc., a Delaware corporation, 1521 Concord Pike, Suite 301-209, Wilmington, DE. 19803 ("Vanowen," "we," "us"). For the purposes of the UK GDPR and the EU General Data Protection Regulation, we are the controller of your personal information. Our affiliated companies in the United States and Japan may help us respond to you, as described below. If you are in the United Kingdom or the EEA, you may also contact our representative appointed under Article 27 of the UK/EU GDPR at privacy@vanowen.co. Our Data Protection Officer, where one is appointed, can be reached at privacy@vanowen.co
1. Information we collect
Information you send us by email. The Site contains an email link. If you use it, your own email program sends a message to us, and we receive whatever you include. That is normally your email address and, if you choose, your name, your message, and details such as a product serial number or where you bought your frame. We do not ask you for any other information, and you should not send us payment card numbers, government ID numbers, or health information. Sending us information is voluntary, but we need your email address to reply. If you do send us sensitive information — for example, prescription or vision details in connection with a warranty or service request — we will use it only to handle that request, restrict access to it, and keep it only as long as needed. Depending on where you live, such information may be treated as "sensitive" or "consumer health" data under laws such as the California Consumer Privacy Act and Washington's My Health My Data Act, and we handle it accordingly. We do not sell consumer health data, and we will not share it without your consent. We do not use "geofencing" to identify or track anyone near a health-care location. Where required by applicable consumer-health-data law, we maintain a separate Consumer Health Data Privacy Policy, linked from our homepage, describing the categories of such data we collect, the purposes, who we share it with, and your rights to access it, withdraw consent, and have it deleted.
Technical information recorded by our hosting provider. Like all websites, the Site is delivered by a hosting provider whose servers automatically record basic technical information when a page is requested. This includes your IP address, browser type, the page requested, and the date and time. We use these logs only to keep the Site running and secure. We do not use them to identify you, build a profile, or track you. We do not keep our own copies of these logs, and our hosting provider keeps them for a limited period under its own retention practices.
We may also receive limited information from an authorized retailer or from our affiliates where it is needed to confirm a purchase or complete a service request. We do not collect any other information through the Site, and we do not buy information about you from others.
2. How we use it, and our legal basis
| Purpose | Information used | Legal basis under UK and EU GDPR |
|---|---|---|
| Replying to your email and handling your request | Your email and what you include in it | Our legitimate interest in responding to people who contact us; or taking steps you requested before or under a contract |
| Warranty and after-sales service | Serial number, purchase details, correspondence | Performance of a contract with you, and our legal obligations |
| Keeping the Site working and secure | Hosting logs | Our legitimate interest in running a secure website |
| Meeting legal requirements and defending legal claims | Any of the above, where relevant | Legal obligation, or our legitimate interest in protecting our rights |
We do not use your information for marketing unless you ask us to keep you informed, in which case we rely on your consent and you may withdraw it at any time through the unsubscribe link in any message or by contacting us. We do not use it for automated decision-making or profiling. If we ever offer a discount, reward, or loyalty perk in exchange for signing up (a "financial incentive" under California law), we will first describe its material terms, how to opt in and withdraw, and a good-faith estimate of the value of the information involved.
3. Cookies and tracking
Other than any strictly necessary cookies that our hosting and security provider (Netlify) sets to deliver and protect the Site, the Site does not use cookies, web beacons, pixels, analytics, or advertising technologies, and it does not store marketing or tracking identifiers on your device. Any such strictly necessary cookies are used only for security and delivery, do not track you across other websites, and do not require consent under applicable law. Apart from the hosting logs described in section 1, no third party collects information about your activity on the Site, and we do not track you across other websites.
Do Not Track and Global Privacy Control. Because we do not track visitors, there is nothing for these browser signals to switch off. The Site treats every visitor as though such a signal were on.
If we ever add cookies or similar tools, we will update this policy first and, where the law requires, ask for your consent before using them.
4. Who we share it with
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We have not done so in the past 12 months.
We disclose it only to:
- Service providers who act on our instructions and are bound by contract to protect it: Google LLC, which provides our business email (Google Workspace), and Netlify, which hosts the Site.
- Our affiliated companies in the United States and Japan, where they need it to answer your request, such as a warranty repair handled in Japan.
- The authorized retailer you bought from, if needed to confirm a purchase or complete a service request.
- Authorities or advisers where the law requires it, or to protect our rights, property or safety.
- A successor business, if Vanowen is involved in a merger, acquisition or sale of assets. This policy would continue to protect your information.
5. International transfers
We are based in the United States and Japan, so if you write to us from the UK or the European Economic Area (EEA), your information will be transferred to and stored in those countries. Both the UK and the EU recognize Japan as providing adequate protection. For transfers to the United States, we rely on the EU-U.S. Data Privacy Framework and its UK Extension where our service providers are certified (Google and Netlify are), or otherwise on the European Commission's standard contractual clauses and the UK International Data Transfer Addendum. [Vanowen to confirm whether it is itself certified under the EU-U.S. Data Privacy Framework; if not, transfers to Vanowen rely on the standard contractual clauses / UK Addendum.] You can ask us for more detail on these safeguards.
Asia. If you contact us from China, Japan, South Korea, Singapore, or elsewhere in Asia, we will provide any locally required privacy notice and obtain any required consent — including, where applicable, separate consent for sensitive information and for cross-border transfer of your information — before processing it, and you may exercise the rights available under your local law by contacting us.
6. How long we keep it, and how we protect it
We keep email correspondence for 3 years after our last exchange with you. Where it relates to a product's warranty or service history, we keep it for as long as that product remains under warranty or service, plus any period the law requires. Hosting logs are kept as described in section 1. After these periods, we delete the information or make it anonymous.
We use reasonable administrative, technical and physical safeguards suited to the small amount of information we hold. These include restricted access, two-factor authentication on our email accounts, and encryption in transit. No system is completely secure. If a breach affects your personal information, we will notify you and the relevant authorities as the law requires.
7. Your rights
Wherever you live, you can ask us to tell you what personal information we hold about you, give you a copy, correct it, or delete it. Email us at studio@vanowen.co or call 1-888-635-5419 and leave a message. We will respond within one month (UK and EEA) or 45 days (California), and may extend that period where the law allows and we notify you. We may need to confirm your identity first, usually by replying from the same email address. We will not charge you or treat you differently for making a request. We honor recognized browser opt-out preference signals, including the Global Privacy Control, as described in section 3.
UK and EEA residents also have the right to restrict or object to our use of your information, to data portability, and to withdraw consent where we rely on it. If you are unhappy with how we handle your information, please tell us first and we will acknowledge your complaint within 30 days. You may also complain to the Information Commissioner's Office in the UK (ico.org.uk (opens in a new tab)) or to the data protection authority in the EU country where you live or work.
California residents have the rights described above under the California Consumer Privacy Act, as amended by the CPRA. In the past 12 months we have collected the following categories of personal information:
| CCPA category | Examples | Source | Disclosed to |
|---|---|---|---|
| Identifiers | Name, email address, IP address | You; your browser | Service providers, affiliates |
| Commercial information | Serial number, where and when you bought your frame | You | Service providers, affiliates, the retailer you bought from |
| Internet activity | Pages requested, browser type (hosting logs) | Your browser | Hosting provider |
We use these categories only for the purposes in section 2 and keep them for the periods in section 6. We do not intentionally collect sensitive personal information, and we ask you not to send it. If you choose to send us sensitive information in an email (for example, prescription details for a warranty claim), we use it only to handle your request and for no purpose that would give rise to the right to limit its use. We do not sell or share personal information, so there is nothing to opt out of, and we do not use personal information for profiling or automated decision-making. You also have the right to limit the use of sensitive personal information; because we use any sensitive information you send only to handle your request, this right has no further effect, but you may still ask us to delete it. You may make a request by email to studio@vanowen.co, by calling 1-888-635-5419, or by mail to the address in section 10, and you may use an authorized agent. Under California's "Shine the Light" law, we do not disclose personal information to third parties for their direct marketing.
Other U.S. state residents. Residents of Virginia, Colorado, Connecticut, and other states with comprehensive privacy laws may also exercise the access, correction, deletion, and portability rights described above, to the extent those laws apply to us.
Appeals. If we decline your request, you may appeal by emailing studio@vanowen.co with "Privacy Appeal" in the subject line. We will respond to your appeal within the time your state's law requires (for example, 60 days in Virginia, Colorado, and Connecticut). If we deny your appeal, we will tell you how to contact your state Attorney General or data protection authority.
New York residents may make any of the requests above, and we will honor them.
8. Children
The Site is not directed to children, and we do not knowingly collect personal information from children under 13 (as defined by the U.S. Children's Online Privacy Protection Act) or, in the UK and EEA, from children under 16 without appropriate consent. If you believe a child has emailed us, contact us and we will delete the information.
9. Changes to this policy
We will update this policy before we change how the Site collects information, for example when we add trade account features. We review this policy at least once every 12 months and will post any new version here with a new effective date. If a change materially affects information we already hold, we will tell you by email before it takes effect.
